TRIADD Software’s Gain RM Web Editions are a Records and Information Management solution used by records managers across the nation. You can manage and reduce the exposure of your organization with a single product and single point of control.

The Gain RM solution has all the elements required to deploy an effective records management solution on an enterprise-wide scale. It will deploy an inventory of all records, manage the user community that owns, or creates, or is authorized to request information, establish and integrate retention policies for those records, track each record as it is moved, and ensure an orderly destruction of those records when it is no longer needed.

Gain RM is a web-based solution that requires the application to reside on a web-server, with connectivity to a central RDBMS repository, which can be Microsoft’s SQL Server 7.0 or Microsoft’s Windows 2000, SQL 2000, Oracle 8i and Oracle 9. 

A Web-based Solution

The term web-based, can be defined as all records management activities and reporting for physical records can be accomplished by way of accessing and using a web browser without the requirement of software installation on the desktop. Virtually any site that has access to your intranet or internet will be able to have secure access to the data through a URL address and a Gain RM user account. 

When compared to the traditional client/server approach to delivering enterprise records management, the web-based approach offers immediate financial benefits.

  • Significant cost savings when compared to the traditional client/server-pricing model for database licensing. The range of cost savings is estimated to vary from 35% to 90% as compared to a traditional client/server application.

Browser Capabilities

Gain RM is seamlessly delivered through the browser. In fact, many of the system features are delivered through the capabilities of the browser your users know and use. Some of those features include:

Forward and Back: The browser has forward and back navigation buttons. You can easily navigate back and forth among several screens without losing any data. 
Back/Forward List: This button lists the last 20 screens you have accessed. Basically, it becomes a built in, automatic menu of your most recently accessed screens and features of the system. All you need to do is click on an item to go immediately to the screen. 
History: The browser automatically logs every screen that you have accessed during each Gain RM session. You can store months of activity. 
Browser Windows: You can select an item from a search results list and open it in a new browser window. This allows you complete functionality as well as maintaining the search results list. 
Print: You can use the browser’s print function to print out what ever is currently displayed in the browser window. This is handy for printing ad hoc information and search results. 
Mail: You can use the mail button of the browser to send the currently displayed screen of information as an attachment to an email. 
Favorites: You can use the favorites feature to store screens that you want to refer back to. For example, you could mark a number of box or folder records that you want to quickly access at a later time.

Gain RM’s ‘out-of-the-box’ feature set includes:

  • Managing records stored in multiple record facilities on and off-site for numerous different companies, departments, groups and sections. Four levels of organizational management available for every record.

  • Expedite the process of locating records for internal users.

  • On-line integration of retention schedules.

  • Identify the contents, location, department and status (checked in/checked out) for every record. The system includes appropriate logs and receipts for pick up and delivery of individual records for verification and audit purposes.

  • Ease of deployment using pre-configured access and security templates. 

  • Online requests that can be pre-scheduled and tracked by the requestor. 

  • Customizable menus and screens for data entry, view, and browse – ability to create ‘unlimited’ combinations to address the needs of multiple users within the community. 

  • English query, full text search, and custom thesaurus for advanced search tools to get to those ‘hard to find’ and unique requests of records. 

  • “Paperless” Reports, where results are delivered to the workstation for review, and may be saved to file for furthering to a wider audience via email or imported into other applications, such as Word, Excel, and Access. 

Expand Your Solution

Electronic Document Management (EDM) – extending control and management of electronic media in a single repository that utilizes all the security and access controls of Gain RM. 
Electronic Record Management (ERM) – a ‘light’ version of EDM. Designed to manage only those electronic documents that are classified as records including e-mail. 
Interface with image solutions – extending retention policy management and record access to selected imaging solutions. 
Simple Object Access Protocol (SOAP) – extending the interface to Gain RM to other business systems (available only in the Enterprise Edition).
